Law Firm Administrator & Accounting Director

Reporting to the Managing Partner, this role is responsible for the full cycle day-to-day transactional accounting of the Firm in accordance with Law Society rules, office & staff management, facilities management, strategic planning and consultation to the Managing Partner for continued growth and retention strategies along with implementation of “best practices”.

Essential Functions

This leadership position will include staff management (on-boarding, assisting with benefits, performance reviews, terminations etc.), business operations, facilities management and all accounting management duties including but not limited to:

  • Coordinate and lead accounting activities for the law firm.
  • Manage the overall day to day business operations of the firm including finance and accounting, human resources, and facilities
  • Day-today accounting, including accounts payable and receivable, trust deposits and withdrawals
  • Account payable, Accounts receivable (credit and collections), general accounting functions and financial analysis.
  • Daily, monthly and annual transactional accounting activities
  • Support reporting, reconciliation and analysis including journal entries
  • Perform all aspects of the financial management and Payroll of the firm, production of periodic financial reports and maintenance of an adequate system of accounting records while ensuring a comprehensive set of controls are in place to comply with the Law Society, CRA and GAAP rules
  • Develops and implements related accounting policies, systems and procedures.
  • Prepares related management reports and summaries.
  • Participates and contributes as a member of the leadership team in setting and implementing the long and short- term goals of the law firm.
  • Cash Management.
  • Preparation and review of financial statements.
  • Financial Reporting.
  • Budget and Forecasting.
  • Preparation and presentation of financials for firm management.
  • Identify, create and implement accounting procedures and internal control process.
  • Weekly reconciliation of bank accounts.
  • Prepare and complete month and quarter end journal entries.
  • Review monthly financial reporting package including consolidated financial statements and variance analysis.
  • Manage and administrate the accounting system and other accounting related applications.
  • Coordinate year-end audit with external auditors.
  • Reviewbudget and tax returns for law firm.

Qualifications

  • Accounting designation with strong technical and leadership skills
  • Eight (8)+ years’ of experience within a professional services, law firm experience would be considered an asset
  • Excellent verbal and written communication skills including the ability to clearly present information to various audiences
  • Advanced computer skills, specifically mastery of advanced Excel functions
  • Proven ability to both lead and work in a team environment by providing guidance and coaching in areas of expertise
  • Proven ability to apply professional judgment and to work independently
  • Excellent organizational and time management skills in order to manage multiple priorities and competing demands with tight timelines
  • Outstanding attention to details and ability to thrive in a dynamic environment
  • Demonstrated knowledge of Generally Accepted Accounting Principles (GAAP) and tax regulations
